User Booking Policy

Effective Date: 26 June, 2025

This User Booking Policy outlines the terms and expectations for all users (“Creatives”) booking locations through SceneAccess (“we,” “our,” or “us”).

By making a booking on SceneAccess, you agree to the following:

1. Booking Confirmation

  • Booking requests are not final until approved by the Host.
  • Hosts have up to 48 hours to respond.
  • You will receive a confirmation email when your booking is accepted.

2. Free Cancellation

  • You may cancel a booking within 24 hours of placing the request if not yet confirmed by the Host – no charges will apply.

3. Payment & Charges

  • You will be charged:
    • Location Fee set by the Host.
    • 10% Platform Fee (non-refundable).
    • Processing Fee (3% MDR + 7% VAT on transaction).
  • Full payment will be collected prior to the shoot date, as per SceneAccess’s payment processing policy.

4. Refund Policy

  • 7+ days before shoot: You are eligible for a 50% refund on the Location Fee.
    (Platform Fee and Processing Fee are non-refundable).
  • Less than 7 days before shoot: No refund will be issued under standard conditions.
  • In the event of a Host cancellation, you are entitled to a full refund.

5. Rescheduling Policy

  • 7+ days before shoot: Rescheduling is free, subject to Host availability.
  • 3–6 days before shoot: Rescheduling is allowed with a 50% rebooking charge. Must be completed at least 3 days prior to the original shoot date.

6. Security Deposits

  • Some Hosts may require a security deposit, payable before or upon arrival.
  • Any damage or overtime charges will be deducted from this deposit after the shoot.

7. Overtime Charges

  • If your shoot exceeds the reserved time:
    • The Host must confirm the overtime via SceneAccess.
    • You will be charged the hourly overtime rate listed on the booking page.

8. On-Site Responsibility

  • You are responsible for:
    • Respecting the property and following Host rules.
    • Ensuring all crew and participants act professionally.
    • Leaving the location in the condition it was found.

9. Insurance and Permits

  • SceneAccess does not provide insurance for users.
  • Foreign users must obtain filming permits from the Thailand Film Office (TFO) if applicable.

10. Disputes & Support

  • For booking issues, contact SceneAccess at admin@sceneaccess.io.
  • SceneAccess reserves the right to resolve disputes and issue refunds based on policy violations or unmet terms.

11. Governing Law

This policy is governed by the laws of the Kingdom of Thailand.

By placing a booking through SceneAccess, you agree to comply with this Booking Policy in full.
